Clearfield Clinical is a service of Tig Tech LLC, a Texas limited liability company. We provide pre-procedure patient navigation to independent gastroenterology practices. This policy explains what information we hold, why we hold it, and what we will never do with it.
Mobile information is never sold, rented, or shared with third parties for marketing or promotional purposes. No mobile phone number, and no consent to receive text messages, is shared with any third party for marketing. The only parties that ever see a phone number are the service providers listed below, which process it solely so that we can deliver messages on behalf of the practice that scheduled the procedure.
Two kinds of information
We hold two categories of information, and they are governed differently.
Business information is what a practice, or someone considering becoming a client, gives us directly: a name, a work email address, a phone number, and the contents of correspondence. We are the controller of that information.
Patient information is what a client practice provides so that we can contact its patients before a procedure. Under HIPAA we are a business associate of the practice, not a covered entity, and we process patient information only under a signed Business Associate Agreement and only on the practice's documented instructions. The practice, not Clearfield Clinical, is the point of contact for a patient exercising rights over their own health information.
What we receive about patients
Six data elements per scheduled patient, and nothing more: name, one mobile telephone number, procedure date and time, procedure type, the preparation protocol assigned, and the performing physician.
We do not request and will not accept diagnoses, chart notes, clinical history, imaging, pathology, insurance or payer information, Social Security numbers, or payment card details. Where a schedule export contains fields beyond the six above, we remove them on receipt and tell the practice which fields to drop from future exports.
Text and voice messages
Patients receive messages from us because their gastroenterology practice has scheduled them for a procedure and has engaged us to deliver its own preparation instructions as part of that care. Consent arises from the treatment relationship between the patient and the practice. We do not acquire phone numbers from any other source, and we do not message anyone who is not already scheduled for a procedure by a client practice.
These messages are transactional and care-related. We send no marketing, no promotions, and no third-party content of any kind.
A patient can stop messages at any time by replying STOP, or get assistance by replying HELP. An opt-out takes effect immediately and is reported to the practice the same business day, so that the practice can decide how to reach that patient by other means. Message and data rates may apply.
What we do with it
- Calculate each patient's contact schedule from their procedure time and the practice's protocol.
- Send the practice's own preparation instructions at those times, and receive replies.
- Produce the escalation summary that goes to the practice before each procedure day.
- Report to the practice on delivery, response rates, and escalations.
That is the complete list. We do not profile patients, we do not build audiences, and we do not use patient information to develop or improve any product other than the service delivered to the practice that supplied it.
Artificial intelligence
No large language model or artificial intelligence service processes patient information.
Outbound messages are generated from templates the practice writes and approves, populated with merge fields. Inbound patient replies are read by a person. No patient information is used to train any model, by us or by anyone else. This is a deliberate design decision and it is the reason the list of service providers below is as short as it is.
Service providers
Each provider below has a Business Associate Agreement in place before any patient information reaches it, and each processes information only on our instructions.
- Google (Google Workspace), United States. Storage of schedules, delivery of the escalation summary, and business email.
- Twilio, United States. Outbound text and voice messages, and receipt of patient replies.
We notify client practices before adding any service provider that would handle patient information. We do not transfer patient information outside the United States, and we do not sell information of any kind to anyone.
How long we keep it
Patient contact information is retained for ninety days after the procedure date and is then deleted, or for a shorter period where a practice requires one. On termination of an engagement, all patient information is returned in the practice's chosen format or destroyed within thirty days, at the practice's election, and we confirm the destruction in writing. Business information is kept for as long as the relationship continues and for seven years afterwards for tax and record-keeping purposes.
Security
One person has access to patient information. Every account in the chain is protected by hardware-backed multi-factor authentication. There are no shared credentials. Patient information is never stored on personal devices, personal accounts, or unmanaged cloud storage.
Any suspected impermissible acquisition, access, use or disclosure of patient information is reported to the affected practice without unreasonable delay and no later than five calendar days after discovery.
This website
This site sets no advertising or tracking cookies, runs no third-party analytics, and does not attempt to identify you. The only outbound request the page makes is to Google Fonts to load typefaces. If you email us, we hold that correspondence as business information.
Your choices
If you are a patient of a client practice and want to know what we hold about you, correct it, or have it deleted, contact your practice first, since they direct our handling of your information and are best placed to answer. You can also write to us at the address below and we will work with your practice to respond. If you simply want messages to stop, reply STOP to any message.
If you are a business contact and want your details removed, write to us and it will be done.
Changes
If this policy changes materially, we will update the date above and notify client practices directly rather than relying on you to check this page.
